Policies: There are a few things you need to know...

New Client Policy

Cancellation & Rescheduling Policy
For sessions designated as requiring 24 hour cancellation notice (specified during the booking process):

 

Our time together is important. Appointments must be cancelled/rescheduled at least 24 hours in advance. Appointments that are cancelled or rescheduled with less than 24 hours notice will incur a charge of 100% of the session fee. If the appointment has been prepaid as part of a package, the session will be deducted from the package. If the session was prepaid via gift certificate, the gift certificate will be marked as used.

 

If a client cancels an appointment with more than 24 hours notice but less than 72 hours notice more than three times per year, the client may be moved to a pre-pay only program that requires a 48-hour notice of cancellation or reschedule.

Appointments that are cancelled or rescheduled with less than 48 hours notice will incur a charge of 100% of the session fee. If the appointment has been prepaid as part of a package, the session will be deducted from the package. If the session was prepaid via gift certificate, the gift certificate will be marked as used.

 

If a client cancels an appointment with more than 48 hours notice but less than 72 hours notice more than three times per year, the client may be moved to a pre-pay only program that requires a 72-hour notice of cancellation or reschedule.

 

New clients: If a new client appointment is rescheduled or canceled by the client within 72 hours of the appointment, a 50% deposit will be required to hold the new appointment, and a 48 hour notice to cancel or reschedule will be required, or the deposit will be forfeited. 

 

If a single appointment is rescheduled more than once, that appointment will be canceled. Spirit of Lotus can choose to offer to allow the client to keep the appointment with a non-refundable 50% deposit that will be forfeit should the client cancel or reschedule that appointment. The client may schedule a new appointment at a time that is more convenient for them, must pay a 50% deposit, and will be required to give 72 hours notice to reschedule or cancel, or otherwise will be responsible for the full session fee. The client will also be responsible for pre-payment of the session fee 72 hours prior to their appointment, otherwise the appointment will be automatically canceled, and the client will be banned from booking any further appointments.

 

New clients who cancel the first appointment less than 24 hours before the scheduled appointment will be deemed a poor fit for services and not allowed to schedule any further appointments.

Existing clients: If a single appointment is rescheduled more than twice, that appointment will be canceled. The client may schedule a new appointment at a time that is more convenient for them, and will be required to give 48 hours notice to reschedule or cancel, or otherwise will be responsible for the session fee. If the serial rescheduling recurs, the client may be moved to a pre-pay only program that requires a 48-hour notice of cancellation or reschedule, or may be banned from the business, per the discretion of Spirit of Lotus Healing Arts.

**All cancellation and rescheduling policies apply to all clients, whether local or distance, regardless of what service is being received.**

Distance Healing: The payment for your Distance Healing session is due 24 hours before the scheduled appointment time and will be charged to the card on file automatically. If you cancel or reschedule at least 24 hours in advance of the actual scheduled appointment time, the payment will not be charged. If you cancel or reschedule with less than 24 hours notice, no refund will be given. Remember, if you cannot attend the session live, you can communicate at what time you will be able to rest and receive the healing, and will receive a video of the session.

 

These policies are to ensure that clients who can and will keep their appointments are best able to receive the healing sessions that they need.

Late Policy
Appointments that begin late due to client not being ready or not at the place of the appointment on time will still end at the scheduled time, or may have to be cancelled and/or rescheduled if the client is 15 minutes or more late on arrival. Clients will be responsible for payment in full for the service that was scheduled.

Sickness Policy
Both therapists and clients are vulnerable to infection from contagious illnesses. Please reschedule your appointment if you are feeling unwell. Clients with any of the following illnesses, or any other contagious illnesses not listed, will be rescheduled:
Vomiting, fever, cold, RSV, influenza, diarrhea, measles, mumps, rubella, chicken pox, head lice, scabies, impetigo, meningitis, conjunctivitis, hepatitis A, thrush, polio, ringworm of the body, feet or scalp, meningococcal disease, whooping cough, Covid 19, any coronavirus, SARS, bird flu, swine flu, MERS, staph infection, any contagious skin ailment or any other contagious pathogen.

Privacy Policy
Spirit of Lotus collects your information when needed to identify you, such as when scheduling an appointment, filling out a new client form, signing up for the free newsletter, or filling out a survey. This information may include your name, birth date, e-mail address, mailing address, telephone number, health information, etc..
Spirit of Lotus will never disclose your personal information to other companies, except as needed for legal purposes or to resolve legal disputes.
Spirit of Lotus will not release any information to other entities without a signed authorization to release form from the client, unless that information is required for legal purposes.

Gift Certificate Policy
Gift certificates are non-refundable, but may be transferred upon request.

Refund Policy
Refunds are not given for sessions that have been performed, late cancellations, gift certificates, or packages.

 

Refunds can be given for a session that was paid for in advance, and cancelled before the minimum required cutoff designated for that session/client prior to the appointment time, less a 5% administration fee. Processed payments incur fees that cannot be recouped. The client has the option to have their payment held and applied to a future session, as long as they let the business know within 24 hours of their cancellation. Otherwise, a 95% refund will be remitted back to the client.
